Hundred River Farm Visit Terms & Conditions

At Valley Farm, Sotterley, Beccles, Suffolk, NR34 7UH


Bookings of any of the Facilities and Services at Hundred River Farm are accepted on the understanding that the Client, as named on the booking form, accepts these terms and conditions.




‘The Premises’ means any part of Hundred River Farm, Sotterley, Beccles, Suffolk, NR34 7UH

‘Booking Confirmation’ refers to the booking document and details provided by the Client

‘Visit’ means the activities to be held at the Premises on the date or dates agreed in the Booking confirmation

‘Deposit’ means the amount paid in advance

‘the Client’ means the person or company detailed in the Booking Confirmation

‘Reservation Fee’ means the amount agreed in the Booking Confirmation

‘Facilities’ means any space, service or equipment designated for use at the Premises

‘Services’ means services provided to the Client by Hundred River Farm

‘Hundred River Farm’ means Hundred River Farm and / or Valley Farm, Sotterley


Hundred River Farm agree to provide Services (where applicable) and access to Facilities described in the Booking Confirmation subject to the following:


1.     PAYMENT

a.     Advance bookings are confirmed following receipt of at least 50% of the Reservation Fee. Once we receive and accept the completed booking form we will send you an invoice for the deposit and hold the reservation for 14 days pending payment of the deposit.


b.     The balance is due no later than 7 days before the Booking.



A. Cancellations must be confirmed in writing


B. The Client shall pay Hundred River Farm the following charges in respect of the Reservation Fee  (credit being given for the amount of the Deposit paid):-


Notice of cancellation received:

Less than 72 hours prior to the Booking - 100% of the pre-booked total

Less than 7 days prior to the Booking - 100% of the pre-booked total

Between 8-30 days prior to Booking - 50% of the pre-booked total

Between 31-60 days prior to Booking - 30% of the pre-booked total

Between 61-100 days prior to Booking - 10% of the pre-booked total



a.     Hundred River Farm can accept no responsibility for damage, injury or death to persons visiting farms, woods, estate or other places of interest (save, in relation to injury or death, as a result of Hundred River Farm's negligence) or damage to such persons' property. All such property will remain under the care and control of the Client and is entirely at the Client’s own risk.In addition, Hundred River Farm can accept no responsibility to the school, group or individuals for any loss of profit, or any indirect or consequential loss arising under or in connection with the project and the Client shall indemnify Hundred River Farm fully and effectively against all losses or costs Hundred River Farm may suffer or incur as a result of such liability.


b.     Hundred River Farm shall not be liable to the Client by reason of any delay in performing or any failure to perform any of Hundred River Farm’s obligations if such delay or failure is due to any cause beyond Hundred River Farm’s reasonable control including (without limitation) Government intervention, strikes, acts of God, national or local disasters or war or any occurrence causing the whole or part of Hundred River Farm to be closed to the public. In such circumstances the charges payable by the Client may be subject to abatement by a fair and reasonable apportionment.

e.     The Client shall be liable for any loss or damage caused to the Premises and the property, equipment or objects in the Premises by any act or omission of the Client, its subcontractors or guests of the Client, and shall pay to Hundred River Farm on demand the amount required to remedy any such damage.




a.             The Client must take instructions from Hundred River Farm’s Manager (or the nominated staff member for the occasion) while visits and bookings are in progress.


b.            The Client must comply with Health and Safety regulations and complete their own risk assessment (a template can be provided). The Client shall notify Hundred River Farm immediately on becoming aware of any accident or injury occurring at the Premises. Where a Booking requires the provision of special facilities, the Client shall comply with any additional safety requirements imposed by Hundred River Farm.




A.            Responsibility for supervision, control and charge of pupils, young people and other persons making such visits at all times remains with the school or other Client and it should make sure that it has in force all appropriate insurance cover for projects of this type. The school or other Client should ensure that adult to child ratios are appropriate for the Key Stage or age group concerned and the particular needs and abilities of the children.

b.     The Client shall not do anything which might vitiate any insurance effected in respect of the Premises.




In addition to the conditions already specified, the client shall be liable to compensate Hundred River Farm under the following circumstances:


A.    Failure to declare breakages or damages to the Facilities and/or Equipment within 24 hours will result in a £20 fee plus the cost of repairing any damage incurred

CATERING (where applicable)


a.    Hundred River Farm cannot guarantee that any of our products are safe to consume for people with peanut, gluten, milk, egg, lupin, nut, soya, sesame seed, mustard, wheat or sulphur dioxide allergies. This also applies to food provided by third parties.


b.     The Client shall accept full liability for adverse reactions to food consumed by guests whilst on the premises and undertakes to ensure The Premises has been informed of any dietary requirements prior to a Booking.


c.     The Client will ensure that any customers or guests with food allergies are made aware of this risk of consuming food on or from The Premises.


d.     Hundred River Farm will not assume any liability for adverse reactions to food consumed, or items one may come in contact with while eating products.


e.     Hundred River Farm are able to accommodate some dietary requirements and food allergies upon request so get in touch if you have specific questions or concerns.


f.      The Client will inform Hundred River Farm of any changes to the numbers of food bookings no less than 5 working days before the Booking. After this point catering will be charged at the pre-agreed price regardless of the actual numbers of attendees.




A.    The teacher, parents or Client are in charge of young people or other guests, who are being taken out on a visit, is responsible for all the children and other guests from the moment they leave their school, homes or facilities to the moment they are returned at the end of the visit. This Notice applies both to arrangements for travel to and from the site in question and the conduct and control of pupils and others whilst on the premises.


B.    No variation to these Terms and Conditions shall be effective unless agreed in writing and signed on behalf of Hundred River Farm and the Client.


C.    Any notices to be given under these Terms and Conditions must be given in writing


D.    These Terms and Conditions shall prevail over any Conditions offered by the Client.


E.     The Client may not assign, transfer or subcontract its rights and/or obligations under these Terms and Conditions without the prior written consent of Hundred River Farm.


F.     If the expression of interest submitted by the Client includes more than one person those persons shall be jointly and severally liable under these Terms and Conditions.


G.    These Terms and Conditions shall be governed and construed in accordance with English Law and each party agrees to submit to the non-exclusive jurisdiction of the English Courts as regards any claim or matter arising.


H.    Hundred River Farm is a non-smoking Premise and as such smoking, including e-cigarettes, must be confined to the designated smoking area (car park)


I.       All deliveries must be pre-arranged. Company name and notice of items to be delivered must be provided to the Bookings Manager at least 24 hours in advance of the Booking.


J.     The Client acknowledges that no relationship of landlord and tenant is created between the Client and Hundred River Farm by this Agreement and that Hundred River Farm retains control possession and management of the Premises and the Client has no right to exclude Hundred River Farm from the Premises.


K.    The Client agrees and undertakes to indemnify Hundred River Farm and keep Hundred River Farm indemnified against all losses, claims, demands, actions, proceedings, damages, costs, expenses or other liability in any way arising from:

a.   this Agreement;

b.   any breach of the Client's undertakings; and/or

c.   the exercise of any rights given to the Client.

L.     At the end of the Hire Period the Client shall remove from the Premises anything that the Client has brought into the Premises for the purposes of or in connection with the Booking.
